Privacy Notice
How Kathisma handles information submitted through its websites and commercial workflows.
Interim website notice. This notice reflects the current website and intake flows. The exact contracting legal entity must still be identified in paid-service and referral agreements before those agreements are activated.
1. Scope
This Privacy Notice explains how the business operating KathismaAI.com and its Kathisma Travel, Kathisma CRE, and Kathisma Residential experiences (collectively, “Kathisma”) handles personal information submitted through its websites, inquiry forms, partner applications, planning workflows, and related commercial interactions. A separate customer agreement, data-processing agreement, or product-specific notice may apply to a paid engagement and will control where it is more specific.
2. Information we collect
Depending on how you use Kathisma, we may collect information you provide such as your name, email address, organization, role, business context, portfolio or transaction-volume ranges, inquiry details, travel-planning preferences, approximate travel dates, traveller counts, service selection, partner background, professional affiliations, conflict disclosures, and other information you choose to submit. Please do not submit confidential client, brokerage, tenant, transaction, customer, or other third-party information unless you are authorized to do so and Kathisma has requested it for an appropriate purpose.
3. Technical and service information
Our hosting, security, database, and communications infrastructure may process technical information needed to operate and protect the websites, such as request timestamps, source pages, network or device information, and service logs. Kathisma does not currently describe ordinary website visits as a basis for behavioural advertising or the sale of personal information. If analytics, advertising, or cookie practices materially change, this notice should be updated before those practices are relied upon.
4. How we use information
We use information to respond to inquiries; evaluate fit and scope; provide requested travel-planning, CRE, Home, or partner-program services; prepare demonstrations, audits, pilots, proposals, and commercial records; administer referral eligibility and conflicts; operate and secure the websites and services; process or reconcile payments; maintain business records; improve workflows; and comply with legal, regulatory, accounting, security, and dispute-resolution obligations. We do not treat submitting an inquiry as blanket consent to unrelated electronic marketing.
5. Service providers and disclosures
Kathisma may use service providers for hosting, databases, application infrastructure, communications, payment processing, and other business operations. Those providers may process information on Kathisma's behalf and may operate in Canada, the United States, or other jurisdictions. We may also disclose information where reasonably necessary to comply with law, protect rights or security, investigate misuse, complete a corporate transaction, or with your direction or consent. We do not disclose personal information simply so unrelated third parties can market their own products to you.
6. Payments
Where a payment is completed through a third-party payment processor or secure payment link, the payment processor handles the payment-card information required to complete the transaction under its own terms and privacy practices. Kathisma may receive transaction identifiers, payment status, amount, customer contact information, and related commercial records needed to administer the purchase. Kathisma does not intend to collect or store full payment-card numbers through its ordinary website forms.
7. Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, to maintain appropriate business and transaction records, to resolve disputes, and to meet legal, tax, accounting, security, or contractual requirements. Retention periods may differ by record type. Information that is no longer required should be deleted, de-identified, or otherwise disposed of in an appropriate manner, subject to lawful retention needs.
8. Safeguards
Kathisma uses administrative, technical, and organizational safeguards appropriate to the nature of the information and the stage of the service. No online service can guarantee absolute security. Product pilots or customer-data processing may require additional security, privacy, access-control, data-handling, and contractual safeguards before live or representative customer information is accepted.
9. Access, correction, and privacy questions
You may ask about personal information Kathisma holds about you, request correction of inaccurate information, or raise a privacy concern by using the Contact page and identifying the request as a privacy request. Kathisma's Privacy Lead is responsible for coordinating privacy inquiries. We may need to verify identity before responding, and legal exceptions may apply to access, deletion, or disclosure requests.
10. Electronic communications
Kathisma intends to send commercial electronic messages only where there is an appropriate consent, business-relationship, referral, or other lawful basis. Where required, commercial messages will include sender identification and a way to unsubscribe. Transactional, requested, or service-related communications may still be sent where permitted.
11. Children
Kathisma's business inquiry and paid planning workflows are intended for adults. Minors should not submit personal information through commercial forms without the involvement and authorization of a parent or legal guardian where appropriate.
12. Changes
This notice may be updated as Kathisma's products, service providers, legal obligations, and information practices evolve. Material changes should be reflected on this page before Kathisma relies on materially expanded uses of personal information. Last updated: September 8, 2026.
